About Them
Support the CEO to a progressive player in the Music industry for a 3-week temp assignment. This hands-on role will need someone who possesses experience working within an ASX listed co where you organised board meetings.
Day to Day
- Diary Management - Maintain calendar of CEO and manage CEO’s time effectively - including scheduling appointments and meetings, both internally and externally
- Provide short & concise bios on external people the CEO is meeting with
- Inbox Management - keeping an eye on incoming emails and alerting the CEO to urgent/timely matters
- Drafting email responses - as and when requested by the CEO
- Escalating matters requiring urgent attention in the absence of the CEO
- Maintaining a daily 'to-do' list for the CEO and working with the CEO to ensure nothing is missed
- Maintaining Trello Board (Project Management tool)
- Booking travel for CEO and Board as required - including flights & accommodation
- Maintain detailed travel dossier before and during CEO's travel. The Dossier will include all travel details as well as all meetings and bios on each person the CEO is meeting with
- Board Liaison and meeting preparation (Note there will be an informal board meeting taking place during this tenure. The meeting is scheduled for Mon 29th July)
- Booking catering for Board Meeting
- Liaison with the Company Secretary in regards to Board Matters as and when required - ie booking meetings
- Book travel for the Directors when required
- Personal duties for CEO - this may include: - Getting breakfast/lunch/ refreshments during the day for the CEO - Making personal appointments (ie beauty appointments/hair appointments/dinner reservations - Dry-cleaning - Booking the home cleaners & car maintenance etc
You'll Need
- At least 5 years experience as a C-Suite Executive Assistant
- Experience working with an ASX listed company
- Experience with the Google Suite of products
- Experience using Trello (not essential as easy to learn)
- Excellent oral and written communication skills are crucial, as well as the ability to analyse quantitatively, solve problems, scope and prioritise work
- Utmost integrity and discretion in handling confidential information
- Highly motivated and organised with excellent attention to detail
- Excellent time management skills, able to juggle a large number of tasks while maintaining a commitment to critical deadlines
- Proactive; able to identify risks and head them off before they become problems
- Willingness to work across all manner of projects, tasks and all depths of issues as set by the CEO and other senior managers
- Must love music!
