About Them
An iconic memberships based organisation based in the CBD are currently seeking the talents of a meticulous Team Assistant who can provide general administrative and operational support to the team.
This amazing role will initially be for a 2-3 month contract with the role to potentially go perm
Occasionally it will also be necessary to work outside of normal hours to provide support for events.
Day to Day
  • Respond to inbound enquiries, including answering and directing phone calls, monitoring, forwarding or responding to voicemails, and responding to emails sent to the general office email
  • Manage office, including purchasing stationery supplies and ensuring the office is maintained in a neat and tidy condition
  • Coordinate with and support team members and external contractor to resolve any IT issues
  • Organise internal and external meetings, including booking meeting rooms and managing calendar invites for meeting participants
  • Prepare and distribute meeting agendas and take minutes for fortnightly Membership Services Team meetings, fortnightly Sydney team meeting and other team meetings as required;
  • Coordinate with an external travel agent to book flights and accommodation for team members
  • Other activities as required
  • Managing events

You'll Need

  • Proven experience with general administrative and operational support, with event coordination and administration experience highly valued
  • Highly organised with strong attention to detail and an ability to manage competing priorities with multiple internal and external stakeholders to a strict deadline
  • Ability to work independently and show initiative to complete tasks with incomplete information and limited direction, and comfortable with taking ownership to solve problems and improve projects and processes where required
  • Excellent written and verbal communication skills and experience with customer service and relationship management
  • Strong technical competency, including with Microsoft Windows, Microsoft Office (Word, Excel, PowerPoint, Outlook), Customer Relationship Management (Salesforce), email management (Campaign Monitor) and event management (Eventbrite), and a general understanding of database management and data integrity;
  • Experience in handling highly-confidential information with professionalism and discretion
